The position : administrative and sales assistant

The main responsibilities of the position include:

  • Assist As the initial point of contact with clients, suppliers, partners. before elevating any issues to management.
  • Assist the CEO in daily tasks
  • Provide general administrative support to the team to include filing, data entry, typing
  • Maintain and manage databases to ensure accurate information : for sales/finance team / for support and technical issues
  • Maintaining all internal and government and regulatory filings and declarations, meet the deadlines
  • Follow up with clients/suppliers on orders, payments, invoices, and with relevant associated people and departments (logistics) if needed
  • Keeping up to date due and pending issues to be solved / answered / paid etc..
  • Deal with clients’ inquiries via live chat, email and telephone / follow up on goods reception, quality, enquiry
  • Handle client inquiries appropriately and ensure that high level service is provided / liaising with corresponding services and people
  • Develop and maintain excellent relationships with prospective and existing clients, suppliers
  • Keep shared files via clouds updated, well organized
  • Cooperate effectively with other departments as required

Main requirements:

  • Degree in a business-administration related field
  • Minimum of three years’ experience working in administrative support and customer service roles
  • Excellent administrative skills
  • Results driven, pro active attitude, committed person
  • Ability to multitask and maintain a high-level of organization
  • Details oriented
  • Prioritize tasks efficiently and effectively.
  • Outstanding communication and interpersonal skills
  • Client handling experience / client services skills mindset
  • Excellent computer literacy: ability to use common tools, but also ability to handle E shop woocommerce, CRM ,
  • Good team player who is willing to take responsibility;
  • Professional and reliable conduct;
  • Communication skills are excellent, verbal and written.
  • Fluent English, German language is a plus
