CareerFinders, on behalf of our client, a long-established and highly regarded provider of Corporate & Fiduciary Services, we are seeking to recruit an Office Administrator to join their growing team based in Nicosia. As well as ensuring the smooth running of the office from an administrative perspective, the successful applicant will also provide key PA support to the Managing Director. Our client is seeking applicants who possess proven experience in a relevant position, who are fluent in both verbal and written Greek and English. Outstanding organisational, administration and time management skills are essential.
Key Duties/Responsibilities:
- Efficiently answer, screen, and direct phone calls.
- Manage the Director's communication, including emails and messages.
- Act as a Personal Assistant to the Director, handling personal tasks as needed.
- Manage the Director's calendar, schedule appointments, and organize meetings.
- Prepare, organize, and maintain documents and office records.
- Assist in the preparation of reports, presentations, and correspondence.
- Organize internal and external meetings, including logistics and attendee management.
- Take minutes during meetings and circulate them as required.
- Manage office supplies inventory and place orders as necessary.
- Coordinate with various departments for smooth office operations.
- Welcome guests and direct them appropriately.
- Ensure reception area and meeting rooms are well-maintained.
- Arrange travel, accommodations, and itineraries for the Director.
- Assist in organizing office events and functions.
- Provide general support to visitors and staff.
- Handle ad-hoc projects and tasks as assigned by the Director, including assistance to the Marketing and Compliance departments.
Key Skills/Experience:
- An academic background relating to Secretarial Studies and/or Business Administration will be considered an advantage, but not essential.
- Prior experience as an Office Administrator and/or Personal Assistant is essential.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Computer literacy, particularly with Microsoft Word, Excel, and PowerPoint.
- Fluency in Greek & English.
- Excellent communication skills and to be able to be part of a team.
- Have the ability to work under pressure and to meet tight deadlines.
