CareerFinders, on behalf of our client, a Group of Companies that specialise in the construction and development of luxury residential projects in Cyprus, we are seeking to recruit an Administration Officer to join their growing team based in Larnaca. Working closely with Senior Management, the successful applicant will provide critical administration support for both the day-to-day management of the office here in Cyprus, as well as working closely with clients to assist with a variety of administrative tasks vital to the smooth delivery of their projects. An academic background relating to Business Administration or Secretarial Studies will be considered an advantage, and you will need to possess proven experience in a relevant administration focused position, with any specfic exposure to the Real Estate and/or Construction sectors considered an advantage, but not essential. Outstanding organisational skills are a must, as well as fluency in both verbal and written Greek and English. A highly competitive remuneration package is available, based on skills and experience.
Key Duties/Responsibilities:
- Oversee property management administration for across various projects.
- Manage Know Your Customer (KYC) updates for all companies, ensuring compliance with regulatory standards.
- Direct social media sales inquiries to the appropriate personnel, facilitating timely responses and customer engagement.
- Compile and input data for PowerPoint presentations, ensuring accuracy and professional presentation.
- Maintain office supplies inventory, ensuring adequate stock levels and replenishment as needed.
- Manage petty cash transactions and reconciliations, maintaining accurate records of expenses.
- Organize and maintain digital information storage systems for easy access and retrieval.
- Liaise with municipality and land registry offices to follow up on planning permits, building permits, and title deed issuance, ensuring timely processing and compliance.
- Coordinate with architects to obtain planning and building permits for individual projects, facilitating smooth project progression.
- Provide personal administration support to the CEO including diary management, meeting scheduling, and travel arrangements.
- Perform various general office duties such as handling post, phone calls, and inquiries, taking meeting minutes, typing letters and reports, updating computer records, and managing office supplies.
- Execute assigned administrative tasks from associated companies, ensuring timely completion and accuracy.
- Manage office phone calls and inquiries, providing professional and efficient customer service.
- Perform basic bookkeeping tasks and communicate with the Finance Department.
Key Skills/Experience:
- Any academic background related to Secretarial Studies or Business Administration is desirable.
- 2-3 years in office administration or related roles is a must.
- Previous experience working in the Construction and/or Real Estate Sectors is desirable, but not essential.
- Fluency in Greek and English, both verbal and written.
- Strong organizational, communication, and interpersonal skills.
- Proficiency in Microsoft Office Suite.
- Basic bookkeeping knowledge.
- Ability to multitask and prioritize tasks effectively.
- Data entry and database management skills.
- Familiarity with office equipment and procedures.
- Experience with diary management, meeting scheduling, and travel arrangements.
- Team player with a customer service orientation.
- Discretion and confidentiality in handling sensitive information.
- Flexibility to adjust to changing priorities and deadlines.
- Understanding of property management regulations and planning/building permit processes is beneficial.
