CareerFinders, on behalf of our client, a long-established and highly regarded Architecture & Design Studio based in Larnaca, we are seeking to recruit a Personal Assistant to join their growing team. As a Personal Assistant, you will provide key administrative support to the CEO of the Company, as well as supporting the smooth running of the office. Our client is seeking applicants who possess proven experience in a relevant role, ideally gained working as a Personal Assistant and/or Office Administrator. You will need to be fluent in both verbal and written Greek and English, be proficient with MS Office, and possess outstanding organisational and time management skills. An attractive remuneration package is on offer based on skills and experience. 

Key Duties/Responsibilities: 

  • Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate the daily agenda, ensuring efficient time management.
  • Manage incoming calls, emails, and correspondence.
  • Greet visitors and direct them to the appropriate person or department.
  • Maintain office supplies and equipment, ordering new supplies as needed.
  • Coordinate meetings and appointments, including scheduling and preparing meeting rooms.
  • Assist with basic accounting tasks, such as processing invoices and expense reports.
  • Support HR functions, including maintaining employee records and assisting with onboarding procedures.
  • Assist with various administrative projects as needed.
  • Assist with the preparation of accounting records and preparing documents for VAT.

Key Skills/Experience: 

  • An academic background relating to Secretarial Studies, Business Administration or similar will be considered an advantage.
  • Proven experience in a relevant administration focused role is essential.
  • Excellent written and verbal communication skills in both English and Greek.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy.
