Martingale Plaza Business Centre is seeking a dedicated and dynamic Business Centre Administrator to manage the evolution of our growing facility. This position offers a unique opportunity to develop with the business, transitioning from a marketing and sales focus during the initial phase to an administrative and supervisory role upon the completion of the building.
Responsibilities:
Phase 1: Marketing, Promotion, and Sales (First 2 Years)
- Collaborating with marketing teams to promote the business center and its services.
- Creating and managing promotional materials, newsletters, and social media content.
- Engaging with potential clients to communicate the center’s offerings effectively.
- Maintaining and updating a client database.
- Managing the sales process with potential clients, using CRM tools.
- Organizing open days for client engagement and onboarding.
Phase 2: Business Centre Administration (Post-Building Completion)
Administrative Support
- Managing day-to-day operations, including scheduling meetings and maintaining office calendars.
- Handling correspondence such as emails, phone calls, and client inquiries.
- Maintaining accurate records through organized databases and filing systems.
Client Relations
- Welcoming and assisting clients and visitors in a professional manner.
- Addressing client requests, complaints, or concerns promptly and effectively.
- Ensuring clients’ office or meeting space needs are met.
- Facilitating new client onboarding and orientation processes.
Office Management
- Supervising cleanliness, organization, and maintenance of the business center.
- Ordering and managing office supplies and equipment.
- Coordinating with vendors and service providers for facilities maintenance.
- Implementing and overseeing workplace health and safety protocols.
Financial Tasks
- Assisting with invoicing and billing for clients using the center's services.
- Monitoring expenses and preparing financial summaries.
- Supporting budget planning and expense tracking.
Event Coordination
- Planning and managing events, workshops, and conferences hosted by the center.
- Overseing event logistics, including catering, equipment setup, and attendee management.
Team Coordination
- Supervising receptionists, cleaning staff, and other personnel.
- Assigning tasks and monitoring team performance to ensure high service standards.
Compliance and Policies
- Ensuring the center complies with relevant laws, regulations, and internal policies.
- Maintaining confidentiality and data security for clients and the business center.
Requirements:
- A Bachelor’s degree in Business Administration, Marketing, Sales or a related field.
- At least 3 years of relevant experience in marketing, sales, or facility management.
- Strong business writing skills, including drafting professional communications, promotional materials, and reports.
- IT literacy, with proficiency in managing social media accounts, video conferencing platforms, and general office software.
- Flexibility to adapt to evolving responsibilities as the role transitions from marketing/sales to administrative management.
- Fluency in English language.
- Greek language is a plus.
