St Raphael Resort & Marina is seeking a new associate for the position of Groups Coordinator to join our growing team.

JOB OVERVIEW

The Groups Coordinator will be part of the Sales & Marketing Team and will be responsible for managing all aspects of group bookings, from initial contact through to post-departure follow-up. This role involves the proper and effective coordination of all logistics, handling of all aspects of group bookings, including inquiries, reservations, rooming lists, contracts, and on-site communication with clients, ensuring a seamless experience for groups and guests. This position plays a key role in maximizing group sales and overall revenue of the Resort while delivering exceptional service to group partners, event planners, and guests.

MAIN DUTIES AND RESPONSIBILITIES

  • Serve as the main point of contact for group bookings, including corporate, social, and incentive groups.
  • Handle group inquiries, proposals, and bookings efficiently and professionally.
  • Coordinate with clients to gather event and accommodation requirements.
  • Prepare group contracts, proposals, rooming lists, and billing proformas.
  • Work closely with all departments to ensure group needs are fully met and expectations are exceeded.
  • Assist with planning and execution of on-site group events or meetings.
  • Handle changes, cancellations, and special requests in a timely and professional manner.
  • Provide post-event follow-up and ensure guest satisfaction.
  • Ensure accurate billing and payment processing for group accounts.
  • Maintain detailed records of all group interactions and bookings.
  • Provide as needed further administrative support to the Sales & Marketing Team.

REQUIRED QUALIFICATIONS FOR THE POSITION

Education:

  • Hospitality Degree in Marketing or a relevant field of study.
  • Excellent command of the Greek and English languages. Any additional language will be considered an advantage.

Previous Experience:

  • At least 5 years of progressively responsible experience in the hotel sector or groups handling operations.

Other Skills:

  • High level of responsibility, initiative, judgment, and decision-making within the general policies set by hotel management.
  • Willingness to take on responsibilities beyond the core duties of the position.
  • Strong interpersonal and communication skills for effective collaboration with clients and associates.
  • Excellent organizational and time management skills.
  • Friendly, reliable, pleasant personality with a high sense of professionalism.
  • Proficiency in computer programs (word, excel, PMS hotel software).
  • Holder of an EU passport/ID.
