Personal Assistant/Office Manager

We are looking for a proactive and reliable Personal Assistant / Office Manager
In this role, you’ll be the go-to person for supporting our CEO and ensuring smooth office operations — from document handling and travel planning to managing vendors and team events.
Main Responsibilities:
- Prepare, organize, coordinate signing, certify when needed, and store the CEO’s documents. Ensure everything is up to date, easily accessible, and properly archived.
- Book flights, accommodations, and transfers for top managers. Provide clear and detailed travel itineraries and handle last-minute changes calmly and efficiently.
- Take full ownership of the day-to-day needs of the office, including supplies, equipment, furniture, deliveries, and vendor coordination.
- Assist in organizing internal events, team buildings, and external meetings - from sourcing venues to managing catering and technical setups.
- Research, compare, and communicate with service providers (legal, technical, travel, cleaning, etc.) to support company operations.
- Occasionally assist the CEO with personal or non-work-related matters (e.g., booking appointments, sending packages).
Professional Qualifications:
- 2-5 years of experience in a similar role (PA, EA, Office Manager, or Administrative Support).
- Strong written and spoken communication skills (at least B2 English level is a must, Ukrainian and/or Greek could be an advantage).
- Confident in working with Excel, messengers, Google Calendar, and document platforms.
- A background in law or accounting (student or degree) is an advantage.
- Discreet, trustworthy, and comfortable with handling confidential information.
- Driving license
