POSITION OF FOOD & BEVERAGE SECRETARY

JOB PURPOSE
The Food and Beverage Secretary will provide clerical and administrative support, and will also carry out secretarial duties and co-ordinate and implement procedures for the Food and Beverage department. S/he will assist the Hotel Banquet team with all functions (conferences, wedding, christenings, social events etc) within or without the Hotel. S/he will carry out her duties in the most efficient and effective manner, delivering the highest possible standards of accuracy and presentation. S/he will also be pro-active in maintaining and/or improving the department’s profitability in accordance with Hotel policies, procedures and standards.
DUTIES & RESPONSIBILITIES:
- To ensure that the Food and Beverage logbook is updated daily and signed.
- To ensure her actions, duties and all departmental opening and closing duties are carried out in accordance with the pre-set procedures.
- To keep the work station well organised and neat.
- To understand all menus and lists of products served in all Food and Beverage departments.
- To carry out all administrative and secretarial duties as required, ensuring that a high standard of accuracy and presentation is maintained.
- To bring forward all incoming mail, messages and documents as requested for the attention of relevant department.
- To arrange meetings, take minutes and keep notes.
- To ensure a prompt, courteous response and follow up to all enquiries made by either external and/or internal customers.
- To give feedback on guest letters and comments.
- To receive and place telephone calls in a courteous and efficient manner.
- To report any complaints to the relevant Food and Beverage Manager.
- To keep a proper filing system according to company’s requirements.

REQUIRED QUALIFICATIONS AND SKILLS:
- Graduate of a Hotel of Management School or Marketing.
- Secretarial and organisational skills.
- Must speak and write English very well. Knowledge of another language will be considered an advantage.
- Computer literate and familiar with Word and Excel.
- Very good communication skills.
- Pleasant and friendly personality, reliable and polite.
