CareerFinders, on behalf of our client, an expanding International Group of Companies that offers clients a wide range of Logistical & Distribution services, including Ocean & Air Freight, Road Transportation & Warehousing, we are seeking to recruit a Documentation Officer to join their growing team based in Limassol. The successful applicant will provide critical administrative support to a busy logistics and shipping department, including ensuring that all internal policies and procedures are followed, as well as coordinating with third parties in relation to the transport process and delivery dates of goods. You will ideally be educated to degree level in Business Administration, Logistics, Supply Chain Management or a related field and will need to possess previous administrative experience, ideally gained working in the Shipping, Logistics and/or Supply Chain Management sectors.
Key Duties/Responsibilities:
- Ensure that all department policies and procedures are implemented.
- Coordinate with third parties to inform about transport process and delivery dates of good (by road, air or sea) in accordance with customers’ requirements.
- Follow up on arrival of goods.
- Follow up on the loading and discharging of cargo.
- Coordinate with accounting for payment of freight and other charges, or collection of payment on behalf of the client.
- Prepare freight manifest and submit to customs.
- Issue delivery orders to incoming cargo.
- Issue invoices to customers.
- Send arrival notices to clients.
- Ensure proper release of delivery orders to clients in accordance with customs procedures and regulations.
- Ensure collection of dues before releasing any cargo.
- Follow up with trucker on POD for DAP and DDP shipments and share with agent.
- Coordinate with the warehouse for the delivery of goods.
- Report pending delivery orders to the agent and operations manager.
- Assist clients in the event of a claim.
Key Skills/Experience:
- Ideally educated to degree level in Business Administration, Logistics, Supply Chain Management or a related field.
- Previous experience in an administrative capacity, ideally gained working in the Shipping, Logistics and/or Supply Chain Management sectors is essential.
- Knowledge of customs procedures and regulations is highly desirable.
- Outstanding organisational and administrative skills are a must.
- Excellent attention to detail.
- Proficient with MS Office.
- Excellent verbal and written communication skills.
- Ability to work well independently and as part of a team.
