The Academic Affairs Manager at the University of Limassol plays a crucial role in providing administrative support and coordination for academic programs and initiatives and overseeing all aspects of student records, registration, and academic policies. This position works closely with the Vice-Rector for Academic Affairs, the Deans, the Department Chairs, the Program Directors, faculty, and other stakeholders to ensure the smooth operation of academic activities, adherence to university policies, effective communication across departments, ensures the accuracy, integrity, and confidentiality of students’ data and manages the course scheduling and student course registration process.
Key Responsibilities:
- Administrative Support: Provide administrative support to the Vice-Rector of Academic Affairs and academic department chairs, including scheduling meetings, preparing agendas, and managing correspondence.
- Curriculum Coordination: Assist with the coordination of curriculum development and review processes, course registration process, including course scheduling, catalogue updates, enrolment verification, and program assessment activities.
- Academic Calendar Management: Develop and maintain the academic calendar, including important dates such as registration periods, add/drop deadlines, and final exam schedules.
- Transfer Credit Evaluation: Evaluate transfer credits and advanced placement exams for incoming students, ensuring accurate articulation and application of transfer credits toward degree requirements in collaboration with Admissions and Program Directors.
- Student Support Services: Assist students with academic inquiries, course registration, and graduation clearance processes, providing guidance and support as needed.
- Student Success: Implement initiatives to support student success, retention, and graduation, including academic advising, tutoring services, and academic support programs.
- Academic Policies and Procedures: Ensure compliance with university policies and procedures related to academic affairs in collaboration with relevant stakeholders, including accreditation standards, academic integrity policies, and student privacy regulations to ensure alignment with institutional goals and regulations.
- Ensure compliance with the Ministry of Education, and accrediting agency regulations, and prepare reports and documentation as required.
- Coordinate academic events and meetings, such as faculty meetings, curriculum committees, and academic conferences, ensuring logistical support and timely communication.
- Technology Management: Utilize student information systems and other technology tools to support academic operations, including course scheduling, registration, and academic records management.
- Collaboration and Communication: Collaborate with academic departments, administrative units, and external partners to facilitate communication and coordination of academic initiatives and projects.
- Oversee and supervise the Registrar’s Office, the Quality Assurance & Accreditations Office, the Schools & Departments Administration Office, the Student Support Office, and the Student Welfare Office.
Qualifications:
- Master's degree required in Higher Education Administration or related field preferred.
- Minimum of 5 years of experience in academic administration or related roles, preferably in a higher education setting.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent communication and interpersonal skills, with the ability to work collaboratively with diverse stakeholders.
- Proficiency with Microsoft Office suite and student information systems (e.g., Banner, PeopleSoft).
- Knowledge of academic policies, regulations, and compliance requirements in higher education.
- Commitment to maintaining confidentiality, integrity, and professionalism in all aspects of academic affairs management.
