Scope of Duties
The Personal Assistant (PA) to the CEO is a key role providing high-level administrative and secretarial support. This position plays an integral part in ensuring efficient operations, implementing best practices, and contributing to continuous improvement within the CEO's office.
Responsibilities
Management of CEO’s Office
- Organize and maintain the CEO’s office files, ensuring efficiency and confidentiality.
- Ensure timely processing of documents, reports, and approvals, keeping the CEO on track with deadlines.
- Collaborate with the CEO to review and manage the daily agenda, ensuring all priorities are addressed.
- Handle sensitive business agreements and draft high-quality internal and external communications, including reports, emails, and presentations.
- Professionally screen calls and manage inquiries, acting as the key liaison for the CEO with clients, suppliers, and employees.
- Welcome senior visitors and serve as the primary point of contact, ensuring smooth communication across all levels.
Projects
- Support the CEO with specialized projects, research, and strategic initiatives.
- Maintain organized project files and facilitate communication between the CEO and project teams.
Diary and Meeting Organization
- Efficiently manage the CEO’s calendar and coordinate all meeting arrangements.
- Ensure the CEO is fully prepared for all meetings and, when necessary, attend to take minutes and document key points.
Travel Coordination
- Plan and coordinate domestic and international travel logistics for the CEO, ensuring seamless travel experiences.
- Handle all arrangements, including flights, visas, accommodation, and transport.
Business Events
- Take the lead in organizing key business events and the company’s anniversary celebrations, ensuring they run smoothly and professionally.
Required Qualifications & Competencies
- Higher education and relevant experience in a similar role.
- Exceptional integrity, discretion, and a professional manner in all interactions.
- Highly organized, with the ability to manage multiple tasks and meet tight deadlines.
- Proficiency in Greek and English (additional languages are a plus).
- Strong communication, time management, and interpersonal skills.
- Proactive, detail-oriented, and able to lead and mentor others with confidence.
