Role and Responsibilities
- Administer all sales information and ensure that all other administrative services for the sales department are provided as per the guidelines.
- Record orders from clients and produce relevant letters and statements as appropriate.
- Maintaining detailed records of compliance activities.
- Maintaining clients’ and agents’ registration database.
- Produce and collect all relevant information for inclusion in reports for management team.
- Responsible for the invoice payment process for all customers of the company and check data accuracy in orders and invoices in association with the Finance department
- Facilitate the sales process by communicating with different authorities.
- Greet visitors and callers, handle their inquiries and direct them to the appropriate persons according to their needs.
- Communicate on phone, email or fax with clients, colleagues and management.
- Schedule and confirm appointments for management and clients.
- Scheduling and attending meetings, creating agendas and taking minutes.
- Arranging in-house and external events.
- Travel and accommodation arrangements for staff or customers and other external contacts (Booking rooms, hotels and conference facilities).
- Sorting and distributing incoming post and organizing and sending outgoing post.
- Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and to maintain presentations, records, spreadsheets and databases.
- Conduct searches to find needed information, using such sources as the internet and government websites.
- Communicate with clients and collect KYC information of clients/prospect clients, communicating to the requesting entities and filing in designated locations.
- Coordination with our legal advisors.
- Assist the sales department and facilitate their actions.
- Providing sales material and brochures to clients/prospects/Agents/introducers.
- Preparation and overseeing sales contracts, Introducer / Agents Agreements, amendments of Agreements, and other contracts required as per the Department’s needs.
- Collection of the necessary documentation from the clients as per the guidelines.
- Prioritise, communicate & archive communications and files.
- Maintain and update sales and customer records.
- Develop monthly sales reports as requested.
- Communicate important feedback from customers internally.
- Providing after-sales support.
- At all times comply with company policies, procedures and instructions.
- Required to be aware of the Project’s details and specifications and be in the position as a first contact to provide prospect clients basic details of the project.
- Lease with other Departments.
Qualifications and Education Requirements
- BSc degree in Office Administration or any related field. MSc degree will be considered an advantage.
- Minimum of 2 years of working experience as a sales administrator, sales support agent or in a similar role.
- Fluent in English and Greek. Knowledge of Russian or Arabic will be considered an advantage.
- Understanding of sales performance metrics.
- Excellent organisation, planning and time management skills.
- Computer literate (MS Office).
- A team player with a high level of dedication.
- Ability to work under strict deadlines.
Reporting
Reporting to the Sales Manager.
